We have an exciting new opportunity for a motivated, independent, and reliable Office Assistant.

THE ROLE

  • Front Desk Oversight: Greet and assist visitors, clients, and vendors professionally and warmly. Answer phone calls, direct inquiries, and manage the general email inbox. Maintain office supplies and ensure the workspace is clean, organized, and well-stocked.
  • Accounts Payable Support: Process and organize incoming invoices; assist with payment tracking and vendor coordination. Support basic bookkeeping and expense reporting tasks in collaboration with accounting. Maintain and file important project and financial documents.
  • Construction Scheduling & Coordination: Assist with scheduling subcontractors, deliveries, and jobsite inspections. Maintain construction project calendars and communicate updates to relevant teams. Coordinate timelines and documentation for internal project meetings.
  • General Administrative Tasks: Support various office functions, including document preparation, mail distribution, and filing. Assist the project management team with clerical tasks and scheduling needs. Help plan and organize occasional team meetings or office events.

KNOWLEDGE, SKILLS, & ABILITY

  • Knowledge: Consistent work history. Prior experience, minimum of two (2) years, as an Administrative Assistant, Office Assistant, Receptionist, Secretary, Office Clerk, Scheduling Coordinator, or similar role.
  • Skills: Strong attention to detail, time management, and communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook). Experience in QuickBooks or similar accounting software is preferred. Technology savvy with the ability to troubleshoot and solve issues. A team-player attitude with the ability to multitask and prioritize in a fast-paced environment.
  • Ability: This role is on-site and requires reporting to our office in Waterloo, NE. A valid driver’s license and ability to pass a felony/misdemeanor background and driving (Motor Vehicle Record) check.
